Job Overview

Provides principal administrative support to the Department Manager. Handles differing situations, problems, and deviations in the work of the office according to the supervisor's general instructions, priorities, duties, policies, and program goals. Supervisor may assist secretary with special arrangements.


Responsibilities

Essential Duties & Job Functions:

  • Responds to routine telephone requests, which have standard answers; refer calls and visitors to appropriate staff. Controls mail and assures timely staff response; may send form letters
  • As instructed, maintains supervisor's calendar, makes appointments, and arranges for meeting rooms
  • Reviews material prepared for supervisor's approval for typographical accuracy and proper format
  • Maintains recurring internal reports, such as time and leave records, office equipment listings, correspondence controls and training plans.
  • Requisitions supplies, printing, maintenance, or other services. Types, takes and transcribes dictation, and establishes and maintains office files.
  • May attend meetings and record and report on the proceedings
  • Reviews outgoing materials and correspondences for internal consistency and conformance with supervisor's procedures; assures that proper clearances have been obtained, when needed;
  • Collects information from the files or staff for routine inquires on office programs(s) or periodic reports. Refers non-routine requests to supervisor or staff;
  • Explains to subordinate staff supervisor's requirements concerning office procedures. Coordinates personnel and administrative forms for the office and forwards for processing.
  • Performs a variety of clerical and secretary's duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office.
  • Maintains working files of documentation and reports.
  • Distribute plans, specifications, and other engineering documents base wide
  • Daily mail distribution
  • Other assigned duties.

Job Requirements

Mandatory:

  • Have at least three (3) years of experience maintaining financial books/records.
  • A minimum of a High School diploma.
  • Experience with Microsoft Excel and Word.
  • Must be able to function in high stress situations with changing requirements dictated by U.S. Navy ships schedule.
  • Be able to process and track travel arrangements and expense reports for a fifty person installation group.
  • Experience reconciling books against corporate reports.
  • Experience reviewing and verifying vendor invoices.
  • Generate monthly reports, 75% letters, completion letters, and other CDRL documents as described in PWS provided by the Government.
  • Procurement and shipping experience.
  • A US citizen.
  • Be able to obtain a Secret security clearance.
  • A valid driver's license and reliable transportation.
