Job Description

Location: Norfolk, VA

SUMMARY: WR Systems has an opportunity for an Executive Assistant, Senior to provide high-level support to the Vice President of Business Development and other senior-level management personnel.

Position responsibilities will include, but are not limited to the following:

* Answer and screen telephone calls.

* Make copies of correspondences or other printed materials, electronic filing.

* Handle routine tasks with no assistance and with general instructions on new assignments.

* Day-to-day management of VP calendar and schedule.

* Work complex calendar scheduling to ensure efficiency and optimal use of the Vice President's and respective staff's time.

* Manage the Vice President's schedule to de-conflict and help prioritize meetings based on mission and business needs.

* Coordinate off-site meetings; arrange appointments, travel, and conference calls.

* Coordinate complex activities involving multiple groups or departments, including meetings, conferences and process expense reports.

* Perform additional support role tasks as requested by the business development team and principal executive assistant.

* Work closely and collaboratively with the business development team and executive assistant, principal.

* Demonstrate initiative, discretion and tact in managing email, telephone calls and other requests.

* Ensure all correspondence is accurate, complete, and properly handled.

* Review and prioritize wide-ranging written and verbal information and confidential requests to present to the VP or other senior-level management for consideration.

* Make recommendations to Vice President where appropriate.

* Act as a liaison for the Vice President with other departments.

* Handle confidential and non-routine information and communications with appropriate action on behalf of the Vice President.

* Coordinate and compile briefings, talking points, and presentations.

* Prepare agendas and take meeting minutes for executive and senior-level management meetings - this requires much collaboration with internal stakeholders.

* Maintains filing system for the Vice President.

* Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

* Anticipate issues and implement action plans based on changing priorities and commitments.

* Demonstrate initiative, discretion and tact in managing email, telephone calls and other requests.

* Ensure all correspondence is accurate, complete, and properly handled.

* Multi-task effectively in a fast-paced and dynamic environment.

* Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.

* Broad knowledge and understanding of organizational operation and business objectives.

* Self-starter, strategic thinker, and team player who can operate independently and deliver high-quality results.

* Strong knowledge of business and an excellent command of the English language.

* Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

* Must have ability to effectively and efficiently balance competing tasks and projects.

* Ability to take direction and independently manage daily tasks and short and long-term projects in a fast-paced environment.

* Uses discretion and judgment to facilitate executive activities.

* Ability to handle confidential materials and assure discrete handling of all business and personal matters.

* Excellent interpersonal skills.

Candidates must possess the following knowledge, skills, and experience:

* High School Diploma or GED with five (5)+ years of experience.

* Bachelor's degree is a plus.

* Five to nine (5-9)+ years of administrative experience (actual number dependent upon education level).

* Four (4)+ years in proficient use of Microsoft Office Suite.
